Reporting to the Director of Asset Management, the Office Manager will be responsible for coordinating the administrative affairs of the organization, and support the wellbeing of the team generally. The Office Manager will streamline office operations, allowing the executives and project teams to focus on their core responsibilities without being bogged down by administrative tasks.
What You Will Do
Office Management:
- Serve as the primary contact for employees, guests and inquiries, and manage office logistics.
- Assist with onboarding new hires and administering HR software.
- Administer tech and systems; assist in resolving minor IT issues.
- Handle office maintenance requests, maintain office supplies inventory and general tidiness.
- Manage deliveries, office keys, and security systems.
Administrative Support:
- Maintain organized Google Drive files and physical filing systems for easy information retrieval.
- Prepare boardrooms for meetings and provide general administrative support (tech system set up, minute taking, etc).
- Support real estate projects with document management, taking meeting minutes, tracking action items and summarizing activity
- Assist with compiling and formatting various reporting deliverables and presentations.
- Coordinate logistics for corporate events, client meetings, and industry conferences.
Executive Support:
- Provide administrative support, including travel coordination and meeting scheduling.
- Prepare expense forms and handle other duties as required.
What You’ll Bring To The Role
- A diploma or degree in business administration, real estate, or a related field preferred.
- Proven experience as an Office Manager, Executive Assistant or similar role, preferably in a corporate real estate or development environment.
- Strong experience in Microsoft Office Suite and experience using OneDrive, Dropbox, Adobe Acrobat, Adobe Sign, DocuSign, and other relevant software applications considered a strong asset.
- High level of professionalism with exceptional time management skills.
